Final Headcount and Meal Count Worksheet
A one-page worksheet for turning a finished guest list into the plate counts, children's meals, and named restrictions a caterer can act on, with an audit row and a buffer row before the guarantee is sent.
Reviewed for 2026, updated September 8, 2026.
The caterer's final count is where every earlier decision either pays off or comes due. If the list holds every named guest with an attendance status and a meal choice, the count is a filter and a sum: attending guests grouped by entree, children flagged separately, and every restriction tied to a person and a table. This worksheet is the paper version of that filter. Fill one row per table, group, or department, add vendor meals as their own row, then work down through the subtotal, the audit check, the buffer, and the number you will actually send. The two example rows show the level of detail that keeps a kitchen out of trouble on the day; replace them with your own figures.
Use it alongside the Meal Count and Catering Cost Calculator in our Tools section, which applies your buffer percentage and rounds each entree up to a whole plate, and check the result against the assumptions in your catering contract before signing the guarantee. Our articles on giving your caterer an accurate final headcount without recounting all week and on planning catering quantities from RSVP data explain the audit logic in full, and the guide on this site covers the whole workflow from invitation to plate count.
