Caterers want a final number per entree, usually a week or two before the event, and they charge for every plate you commit to. Hosts collecting meal choices by text, email, and reply card end up with a spreadsheet that never quite adds up: some guests picked nothing, some changed their mind, and a few RSVPs arrive after the deadline. Order too few of one entree and the last table gets whatever is left.

This calculator takes your expected final guest count and the share choosing each of up to three entrees, adds a buffer percentage for late changes, and rounds each count up to a whole plate. It then multiplies total plates by your per-plate price and applies the service charge and tax rate you enter to give a realistic catering total. Nothing here is a hidden industry average; every rate is one you set.

How to use this tool

  1. Enter the number of guests you expect in your final count and the percentage choosing each of your first two entrees; the remainder becomes entree 3.
  2. Enter the price per plate from the catering quote, a buffer for late changes, and the combined service charge and tax rate from your contract.
  3. Give the three plate counts to your caterer and check the total against your budget before you sign the final guarantee.

What the math assumes

  • Every guest gets exactly one entree plate, and guests who have not chosen yet are spread across entrees in the same proportions as those who have.
  • Entree 3 receives whatever share is left after entree 1 and entree 2; if the first two shares add to 100%, entree 3 gets zero plates.
  • The buffer percentage is applied to each entree separately and each count is rounded up to a whole plate, so the total can run a plate or two above guests times the buffer.
  • All plates are priced the same; if your caterer charges different prices per entree or offers cheaper kids or vendor meals, adjust the average price or run the tool once per price tier.
  • The default service charge and tax rate is a placeholder, not a benchmark; use the percentage written in your catering contract.

Frequently asked questions

What buffer should I add to the meal counts?

That depends on how firm your RSVPs are. If nearly everyone has replied with a meal choice, a buffer of a few percent covers last minute swaps. If a chunk of your list is still silent, chase them first or run the tool with a larger buffer and accept that you may pay for extra plates.

How should I count vendor meals and kids meals?

Most caterers price vendor and kids meals below adult plates. Leave them out of the guest count here, ask your caterer for those prices, and add them separately, or run the calculator a second time with only those guests and their price.

Why is the plate total a little more than guests plus buffer?

Each entree count is rounded up to a whole plate on its own. With three entrees that can add up to two extra plates beyond a simple percentage, which is harmless because you cannot order half a plate anyway.
